The basics.
Who is Fairground 360 for?
It's built for fairground operators and the renters and government stakeholders around the rentals side — and, when you hold a fair, the organizers, exhibitors, vendors, and sponsors who make it happen. If your grounds juggle rentals and a fair, it's for you.
Is it just for big state fairs?
No. Fairground 360 scales from a single-building county fairground up to multi-venue state associations. Small teams and big ones both run it comfortably.
Does it replace my accounting software?
No — it handles the rental-specific side (quotes, contracts, deposits, payments) and hands clean data off to QuickBooks or your ERP through the open API.
What kinds of events can I manage with it?
Anything that rents space on your grounds: livestock shows, rodeos, weddings, craft fairs, trade shows, private events, concerts, inspections, and public meetings.

Will there be founding-member pricing?

Will there be a free trial?
Yes. Every founding member gets hands-on onboarding plus a trial window to model your facility and run real bookings before paying anything.
Is there a setup fee?
Founding members don't pay a setup fee. We'll help you map your facility, import existing bookings, and train your team as part of onboarding.
How it works.
Can renters pay online?
Yes — deposits, balances, refunds, and receipts. Cards and ACH are both supported, no add-on plugin required.
Will my county's compliance office actually use the government portal?
That's exactly why it exists. Oversight users get read-only audit views with FOIA-ready exports, and viewer seats don't count against your license.
Can we migrate our existing bookings and COIs?
Yes. During onboarding we'll import your existing facility data, active rentals, and compliance records so you're not starting from scratch.
Is my data secure?
All data is stored in U.S.-based infrastructure with role-based permissions, full audit logs, and SOC 2 controls. Designed to hold up to a public-records review.
Can it integrate with our existing tools?
Yes — we ship a first-class REST API plus webhooks. QuickBooks, Google Workspace, county permitting systems, and more can all plug in.
Running your fair.
Do we have to run a fair to use it?
No. The rentals side stands on its own for grounds that book barns and arenas all year and never hold a fair. The fair modules turn on when you need them — and share the same renters, vendors, calendar, and books.
How do entries and judging work?
Exhibitors enter online from your catalog and pay by card. On judging day you scan each exhibit's QR to check it in, then judge on an iPad — sliders for each criterion, a note for the exhibitor, save and next. Names stay hidden, and you can set the point thresholds a ribbon requires.
Does it pay out premiums?
Yes. Winnings tally per exhibitor as results are tabulated. Settle them in one payout run — check, cash, or transfer — with a per-exhibitor list to work from and a donate-back option for exhibitors who want to give theirs back to the fair.
Can it sell tickets and run the gate?
Yes — ticket types with caps and sale windows, a hosted page or an embed for your site, QR admissions, and box-office sales for cash or card. Cash lands in the same dashboard as everything else, and every buyer joins your patron list for next year.
How does percentage-of-sales rent work for food vendors?
You set a percentage instead of (or on top of) a flat fee. A deposit credits against it until the percentage catches up; then vendors report each day's gross from their own portal and pay the rent by card as they submit. You watch a live sales-and-rent ledger per vendor.
We're a 501(c)(3) — can sponsors give a tax-deductible donation?
Yes. Each sponsorship is treated as either a paid sponsorship (which gets an invoice) or a contribution (which gets an acknowledgment letter). The letter subtracts the value of anything the donor received and states the deductible amount, with your EIN.
Can we pay our entertainment and contractors through it?
Yes — this side pays money out, not just in. Book acts against an entertainment budget, upload their contract for signature, keep riders and travel notes with the act, and schedule deposits and balances into one pay run.
